Privacy Policy

Daily Deposit Automation
Operator: Bridgwater Automotive LLC
Effective date: October 21, 2026

1. Scope

This policy covers Daily Deposit Automation, a private application used for Bridgwater Automotive's internal accounting work. It covers information processed through the application and its QuickBooks connection. It does not replace Intuit's or another provider's privacy policy, and it is not a general privacy notice for all automotive-service operations.

2. Information processed

Depending on the authorized workflow, the application processes:

Source reports may include TekMetric payment or payout activity supplied for reconciliation. The application does not need QuickBooks sign-in passwords or complete payment-card details for the deposit workflow. Do not put passwords, full card numbers, or other unnecessary sensitive information in source reports or support messages.

3. Why information is used

Information is used to establish and maintain the authorized QuickBooks connection, prepare and reconcile accounting activity, create authorized accounting records, investigate discrepancies, support users, and protect the application from errors and unauthorized use.

4. Access and service providers

Information is made available to authorized business personnel and service providers as needed to operate and support the workflow. Intuit processes information through QuickBooks Online and its APIs. 1Password is used for configured application credentials. Source reports and operational records may be stored on business-managed computers and business-controlled shared storage, including Google Drive where used by the business.

The operator may disclose information when legally required or when reasonably necessary to address fraud, security incidents, or the protection of legal rights. The deposit workflow is not intended to sell personal information or use accounting data for advertising.

5. Storage and protection

Configured application credentials may be held in 1Password. The unattended Windows runner can keep an encrypted copy of application credentials and rotating OAuth tokens protected for the authorized Windows user on the business computer. A dedicated TekMetric browser profile can retain the signed-in report session on that computer. Credentials and tokens are not placed in source code, public legal pages, or ordinary reports. Access to business systems and records is limited through the controls configured by the operator and its providers. No storage or transmission system can be guaranteed completely secure.

6. Retention

Accounting records created in QuickBooks remain subject to the business's accounting-retention requirements and Intuit's service controls. Source reports, reconciliation outputs, and troubleshooting records may be retained where needed for accounting, audits, support, security, or legal obligations. Credentials should be removed when no longer required. Backup copies may persist until the applicable backup-retention cycle ends.

7. Disconnection and requests

A QuickBooks administrator can revoke the application connection through QuickBooks Online's connected-app controls. Revocation does not erase previously created accounting entries or automatically delete copies held by the business or its providers.

Contact john@bridgwaterauto.com to request information about application data or to request access, correction, or deletion. The operator will verify authority before responding and handle requests as required by applicable law. Some records may need to be retained for accounting, security, or legal reasons, and requests concerning Intuit-held data may also need to be addressed to Intuit.

The public legal website is hosted on GitHub Pages. GitHub may process ordinary request information, such as an IP address, browser details, and request time, to deliver and secure the pages under its own Privacy Statement. These legal pages do not include application analytics, advertising, contact forms, or application JavaScript. Their source is publicly available on GitHub; accounting data and application credentials are not part of the legal website.

9. Changes and contact

This policy may be updated when the workflow, providers, or applicable requirements change. The published policy will show its effective date, and any additional notice or consent required by law will be provided.
